Paycheck Receipt Options

PAPER CHECK DISTRIBUTION

If you have not yet set up your direct deposit, paper paychecks must be picked up in person as follows:

ACADEMIC DIVISION

Paychecks can be picked up in person on payday at University Human Resources, 914 Emmet Street, Charlottesville, VA.  The hours of operation are 8:00am – 5:00pm, Monday through Friday.  Employees are required to pick up their own check and provide photo identification.  No one else can be designated to pick up your paycheck.  Paychecks will not be mailed to employees who live within a reasonable distance of the University.  If an employee lives outside of the area, a paycheck can be mailed after a written request is sent to askhr@virginia.edu.  The request should include the employee’s full name, last four digits of the social security number and the proper mailing address.

MEDICAL CENTER

Paychecks can be picked up in person at the HR Service Center, West Complex, 1st floor, Suite 1943.  The hours of operation are 8:00am – 5:00pm, Monday through Friday.  No one else can be designated to pick up your paycheck.  Paychecks will not be mailed to employees who live within a reasonable distance of the University.  If an employee lives outside of the area, a paycheck can be mailed after a written request is sent toaskhr@virginia.edu.  The request should include the employee’s full name, last four digits of the social security number and the proper mailing address.

UNIVERSITY PHYSICIANS GROUP

You should always refer to the Payroll Calendar for the exact payday schedule for your entity (Medical Center, Academic Division, University Physicians Group.)

ACADEMIC DIVISION

Bi-weekly pay periods are 14 days long, starting on a Monday and ending two weeks later on a Sunday.  Payday will always be every other Friday unless the Friday is a federal bank holiday.  In that case, the payday will be the preceding workday.  If a payday falls on a University holiday and banks are operating, direct deposits will be processed on that Friday.

Monthly pay periods start on the 25th of one month and end on the 24th of the following month, with payday on the first of each month, with the following exceptions

  • Paydays at the end of the quarter:  March 31 (instead of April 1), September 30 (instead of October 1) and December 31 (instead of January 1.)
  • When the first of the month falls on a week-end, the payday will be the preceding Friday
  • If a payday falls on a federal bank holiday, payday will be the preceding workday unless otherwise specified
  • If a payday falls on a University holiday and banks are operating, direct deposits will be processed on the normal payday
